The Levitt Pavilion Pasadena is seeking Non-Profit Community Partners to feature during our upcoming 2013 summer concert series!

As a fellow non-profit organization, we know how valuable community outreach can be. The Levitt Pavilion Pasadena would like to leverage the large audiences that we attract and the publicity that we generate to support our fellow non-profit organizations in Pasadena.

As a Community Partner, you have an excellent opportunity to reach your audience. In 2012, our concerts averaged over 1,350 people in attendance each night and over 68,000 people over the course of the summer. Our attendees come from Pasadena, Altadena, the San Gabriel Valley and the greater Los Angeles area. Our wide geographic reach combined with concerts that feature genres like Children's entertainment (Wednesdays), Jazz, Latin, World, Americana, Rock and more, provide a diverse range of individuals and families to reach.

A maximum of 3 Community Partner Booths will be at every FREE concert during the season. *These numbers are at the discretion of the Levitt Pavilion Pasadena and may change without notice.

The Levitt Pavilion Pasadena is looking for non-profit organizations that fall into at least one of the following categories:

  • Municipal/Government
  • Voter Registration/Political Participation (non-partisan)
  • Schools/Education/Literacy/Cultural
Application and Approval Process

Community Partners may apply to our Community Partner program through our four-step application process.

Step 1: Application

* Apply to the Levitt Pavilion Pasadena using our new online application form*: http://www.levittpavilionpasadena.org/partner-with-us/community-partners.html. *If you donot have online access, please call the Levitt Pavilion Pasadena at (626) 683-3230 ext. 104 and we will help you complete the application.

Step 2: Coordinating Phone Call

If you are selected, the Levitt Pavilion Pasadena staff will contact you to complete the process, including scheduling. Once you have been contacted you will be emailed a Community PartnerAgreement along with the necessary submission documents and paperwork required for approval by the City of Pasadena.

Step 3: Paperwork Submission

Submit all necessary paperwork, including licenses, license applications, and other required information or documents to the Levitt Pavilion Pasadena. The Levitt Pavilion Pasadena will thensubmit your paperwork to the City of Pasadena and wait for approval. (Please see the Rules and Regulations section below for more information on required licenses for our CommunityPartners).

The City of Pasadena has established permit cycles for Community Partners working with the Levitt Pavilion Pasadena this summer. Community Partners must submit theirpaperwork by the submission deadline for each cycle.

*Please ensure your paperwork is filled out correctly. Once you submit, you may not re-submit until the next available submission deadline. We suggest early submission toensure any mistakes are caught before the deadline.

Step 4: Approval!

Once you are approved you will be notified of your approval! If you are not approved you may have the opportunity to re-submit your paperwork by the next submission deadline.

 

 

As a partner of the City of Pasadena, we work to ensure that all city regulations and codes are followed so that we can make sure that our events are fun and safe for all of our attendees. Per these requirements, we are required to secure specific information and documents from you or your organization/group for approval from the City of Pasadena. Approval by the city is required before Community Partners attend our events. * The list below is for information purposes only. We will contact you to secure all of the necessary information.

Licenses/City of Pasadena Documents

All organizations must fill out a City of Pasadena Special Event/Sponsor Form.

If planning to vend, non-profit organizations are not required to secure a Business license from the City of Pasadena. A copy of their IRS paperwork showing their 501(c)(3) status is sufficient.

If you your organization wants to sell food, your organization must possess a City of Pasadena Food Vendor’s License, as well as a City of Pasadena Public Health License and other supplemental licenses (listed below). If your organization already has these, they must be provided to the Levitt Pavilion Pasadena before the scheduled dates of attendance. If your organization does not have these, we can help you to obtain them. Please see the Fee Schedule for information on the cost of City of Pasadena permits and licenses.

The Levitt Pavilion Pasadena Bandshell is located in Memorial Park, Pasadena- just two blocks north of Colorado Blvd. on Raymond Ave. The park is bordered by Walnut St. to the north, Raymond Ave. to the west, Holly St. to the south, and the Gold Line tracks to the East.

  1. Setup: Community Partners MUST COMPLETE set-up up 1.5 hours before show-time.* Community Partners are encouraged to show up 2 hours before show time to ensure they are completely set up when the festival starts (1.5 hours before music begins).
  2. Take-down: Booths must be taken down no later than 9:30 p.m. on Wed/Sun and 10:30 p.m. Thurs-Sat.
  • Community Partners must enter the park through the Senior Center parking lot (located on Holly St.). Community Partners will be greeted by Levitt Pavilion Pasadena staff at the back of the parking lot and walked up to the vending area near the Bandshell to unload their equipment and supplies.
  • Community Partners cannot unload from Walnut Ave.
  • **No cars are allowed to drive/be active in the park from 1.5 hours before the concert starts to at least 20 minutes after the concert is over.
Due to parking fee increases by the City of Pasadena, Community Partners, the Levitt must charge our Community Partners a reduced-rate parking pass for $4 per vehicle (regular rate: $6) for the Holly St. garage.
  • (1) 8 ft X 10 ft booth for your organization (assigned the day of the event). *10 x 10 require a $25 flat fee for the summer
  • (2) chairs for you and your staff
  • (1) table
  • If you have any extra staff we may be able to provide more chairs. You might consider bringing your own chairs just in case we cannot provide any more seating.
  • Electricity (first come, first served basis)
You must provide any other materials not listed above. This may include, but is not limited to:
  • Lighting (required)
  • Duct tape, twists, other materials to affix your banner to your canopy and anything else not mentioned above.
Community Partners have the opportunity to distribute information that does not conflict with Levitt Pavilion activities, which include free performing arts experiences during the evenings of Wednesday-Sunday during out FREE Summer Concert Season. Organizations may recruit new members, have fun activities, and even conduct simple services. Please contact us to discuss any activities you plan on conducting.

Yes, Community Partners have booths at the park for all 50 summer concerts
The Levitt Pavilion Pasadena provides free booth space to Community Partners at our summer concerts. Our Community Partners can use this space to distribute information, recruit new clients/members, and provide simple services. In exchange we ask for your support in promoting our events to your members, clients and participants.
